SoftSolz is operated by SOFTSOLZ LTD (“SoftSolz”, “we”, “us”), a company registered in England and Wales (Company No. 17264537), 105 Washington Street, Bradford, BD8 9QP, United Kingdom, and registered with the UK Information Commissioner’s Office (ICO) as a data controller. We are the data controller for personal data described in this policy.
This policy applies to our marketing website (softsolz.uk) and to the SoftSolz platform and apps (including app.softsolz.uk and related developer, documentation, and API surfaces). It explains what we collect, how and why we use it, who we share it with, and the choices and rights you have. Where you use SoftSolz on behalf of an organisation, that organisation is responsible for its own end users’ data; we act as its processor for that data.
We collect:
We use your information to provide, operate, secure, and improve the website and platform; to create and manage your account; to publish and schedule the content you create to the accounts you connect; to process payments and subscriptions; to provide support and communicate with you; to send service and (with consent) marketing messages; and to comply with legal obligations and prevent abuse.
Under UK/EU data protection law our legal bases are: performance of a contract (to provide the services you sign up for), legitimate interests (to secure, improve, and promote our services), consent (for non-essential cookies and marketing, which you can withdraw at any time), and legal obligation (e.g. tax and accounting records). We never sell your personal information.
Subscriptions and payments are processed by Stripe. When you subscribe or pay, your card details are collected and processed directly by Stripe under its own privacy policy and PCI-DSS compliance; SoftSolz never receives, transmits, or stores your full card number. Because card data never touches our systems, our own PCI-DSS obligation is met through the simplest available validation path (SAQ A). We retain billing records, subscription status, and transaction metadata needed for invoicing, accounting, and fraud prevention. Where you use SoftSolz to collect payments from your own customers (e.g. via Stripe Connect), those payments are governed by Stripe’s terms and the relevant customer relationship is yours.
Some features use artificial-intelligence providers to generate or analyse content (for example drafting post text or answering questions about your data). When you use these features, the relevant input you provide is sent to our AI sub-processors solely to return a result to you. We do not permit your content to be used to train third-party public models, and AI processing is limited to delivering the feature you requested.
You are in control of any connected account. You can disconnecta LinkedIn, Facebook, or Instagram account at any time from within SoftSolz (Social Publishing → Accounts → Disconnect); doing so immediately deletes the access token we stored for that account and stops any further publishing to it.
You can also revoke SoftSolz’s access directly from the provider’s own settings - for Facebook/Instagram via Facebook Settings → Apps and Websites, for LinkedIn via Settings → Data privacy → Permitted services, and for Google/Microsoft via your account’s connected-apps settings. To request deletion of your SoftSolz account and all associated personal data and stored tokens, email support@softsolz.uk or use the data-export and erasure tools in your account settings. We will action verified deletion requests in line with the retention periods in section 10.
We implement industry-standard security measures to protect your personal information, including encryption in transit (TLS) and at rest, secure cloud infrastructure, and role-based access controls. Social-account access tokens and other secrets are encrypted at rest and only decrypted at the moment they are needed (for example, when a post is published). We follow best practices aligned with OWASP guidelines and regularly review our security infrastructure.
We retain your personal information only as long as necessary to provide the services, comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. Connected-account access tokens are deleted as soon as you disconnect the account or delete your SoftSolz account. When data is no longer needed it is deleted or anonymised.
Subject to applicable law, you have the right to access, correct, delete, export (portability), restrict, or object to the processing of your personal data, and to withdraw consent at any time. You can exercise most of these directly in your account settings, or by contacting support@softsolz.uk. You also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) or your local supervisory authority.
We and our sub-processors may process data in countries outside the UK/EEA. Where we transfer personal data internationally, we rely on appropriate safeguards such as adequacy decisions or Standard Contractual Clauses (and the UK International Data Transfer Addendum) to ensure your data remains protected.
We use essential cookies to ensure our website and platform function properly. With your consent, we also use cookies for analytics and advertising. The first time you visit you will see a cookie banner where you can accept or reject non-essential cookies. You can change your decision at any time by clearing your browser’s site data and reloading the page, or by adjusting your browser’s cookie settings.
Some pages on this site (notably the Blog) display ads served by Google AdSense, a third-party advertising service. Google may use cookies and similar technologies to serve ads based on your prior visits to our site or other sites on the web.

Our website and platform are intended for businesses and adults. They are not directed at children, and we do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, please contact us and we will delete it.
We may update this policy from time to time as our services and applicable law evolve. We will revise the “Last updated” date above and, for material changes, provide a more prominent notice. Your continued use of the website or platform after an update means you accept the revised policy.

4. Social Login (Google & Microsoft)
If you choose to sign in with Google or Microsoft, we use their OAuth/OpenID Connect flow to verify your identity. We receive only your basic profile information (such as name, email address, and a unique identifier) needed to create or access your SoftSolz account. We do not receive your password, and we use this information solely for authentication and account management. You can stop using social login at any time and sign in with an email and password instead.
